Start by listing what has to stand at every stop. A typical outdoor roadshow branding kit:
- printed marquee 3 × 3 m or 3 × 4.5 m, with printed walls or half-walls
- two to four flags with bases for grass and hard ground
- a fabric or pop-up backdrop wall for photos and presentations
- a promotional counter with a printed wrap
- printed tablecloths, roll-ups, a few weighted signs or A-boards
- transport bags or boxes labelled per item
Indoor tours, for example in shopping centres, swap the marquee for SEG walls and floor graphics; see pop up shop design and build.
Several identical kits or one kit on the road
There are two ways to run a tour, and the choice is mostly logistics:
- One kit that travels with the event crew. Cheapest in production, but every stop depends on the van arriving and nothing being damaged.
- Several identical kits, one per team or region, running in parallel. Higher production cost, but tours can overlap and a damaged kit does not stop the whole programme.
For multiple kits we print all units in one run, so colours match from kit to kit. Fabric is printed with LED UV ink for textiles or by dye-sublimation, and hems and pockets are sewn in our own sewing room.
- 01Brief
Description, sizes, site photos and deadline — a few sentences are enough.
- 02Design and quote
Our designers prepare artwork or a visualisation and you get a price.
- 03Approval
You approve the design; for brand colours we provide a proof.
- 04Production
35+ machines in our own plant in Poland: 3.2 m UV print, CNC, laser, 3D, sewing.
- 05Installation or delivery
Own crews and vehicles across Europe, partner network, couriers worldwide.
Language versions of graphics for each country
A European tour usually needs the same layout in several languages. Rather than printing a new marquee for every country, we split the kit into a fixed brand layer and a changeable language layer: the canopy and flags carry the logo, while walls, counter wraps and roll-ups carry the language versions.
Our in-house studio adapts the master files into each language version you supply and labels every graphic with its country code. Write to us in your language and we reply in it; we handle all 14 languages of this site. For campaigns with many language versions of print, see multilingual print production.
Transport between stops and shipping spares
Our own vans drive across Europe every day. On dedicated transport Germany and Austria are usually reached the next working day, the UK and Barcelona in about 2 days, and Madrid in 2–3 days. We can deliver kits to the first stop, move them between stops when the route fits, or send spare graphics and language sets ahead to the next venue by courier or dedicated courier.
For agencies running a tour for their client, everything ships in neutral packaging without our logo, and we sign an NDA on request.
- 24 hexpress printing (UV inks need no drying)
- approx. 3 daysstandard lead time
- up to 14 dayslarge and custom projects with installation
Plus courier delivery. Tell us your date — we plan production around it.
Replacing damaged elements during the tour
Wind breaks flags, crowds tear tablecloths, a counter wrap gets scratched. Because we keep your print files, a replacement is a reprint, not a new project. Express printing in 24 hours is possible for many items at an average surcharge of approx. +40%, plus courier time to the next stop.
A tip from previous events: order one spare set of the most exposed items (flags and tablecloths) with the main production. It costs little and avoids a rush order in the middle of the tour. Our guide on choosing a promotional marquee helps with sizes and print options.
How to get a quote for a roadshow kit
Send us the list of elements, the number of kits, the route with dates and countries, and the language versions. We return indicative prices per element and per kit, transport options and a production schedule, and confirm prices before printing. Larger tours are quoted individually.
Our head office and main production plant are in Wieluń, Poland, where we have been producing since 1991 on more than 35 machines. The Volvo Gdynia Sailing Days case study shows how many different materials are prepared for one start date of an event.
