How much does an exhibition stand cost? From a small kit to a full build

What the cost of a stand is made of

When someone asks us what a stand costs, we always start by separating two things. The first is what you pay the show organiser: square metres of space, a power connection, a catalogue entry, sometimes a compulsory shell scheme. That is in the show's price list and outside our control. The second is what we make: the equipment and graphics you bring with you and use again at later events.

In that second part, the cost depends mainly on four things:

  • backdrop size: a roll-up, a 3 m wall, a 6 m wall or modular walls,
  • furniture and counters: promotional counter, tables, pouffes, cubes,
  • lighting: LED fabric frames look great but cost more than a plain wall,
  • installation: whether you set up yourselves or our crew comes.

The item prices come from our price list: 100 × 200 cm roll-up from approx. €65, promotional counter with graphics from approx. €210, 300 × 230 cm fabric wall from approx. €400, 590 × 230 cm wall from approx. €700, 100 × 230 cm SEG frame module from approx. €160. All net, with print and carry bags. Graphic design for the whole kit is charged separately: with several formats we usually bill by the hour, approx. €35 net per studio hour.

Custom builds: what drives the price

Above about 12–16 m², and for companies that exhibit several times a year, we increasingly build stands from SEG frame modules. Aluminium frames bolt together into walls of any length, corners and a storeroom with a door, and the fabric graphic is pushed into a groove in the frame. At the next show the build can be reconfigured to suit a new stand shape.

The price of a build depends on:

  • the number and height of modules (usually 230 cm, sometimes higher if the organiser allows),
  • LED backlit frames: from approx. €300 net per m² of face; usually used for one or two strong accents rather than whole walls,
  • furniture: counters, display cases, tables, fabric pouffes and cubes,
  • flooring: printed carpet or floor graphics,
  • storeroom, shelves, screens, brackets.

We quote such a stand from the organiser's floor plan or a simple sketch with dimensions. We often also prepare a visual, approx. €75 net, so you can see the stand before production and avoid surprises on site.

Installation and transport: what is added on site

Portable kits (roll-ups, pop-up walls and a counter) are set up by most clients themselves. We pack everything in bags and cases and send it by courier to your office or straight to the venue, if the organiser accepts deliveries. Our own vans also run across Europe every day.

For modular builds we usually send our crew. We calculate the cost like this:

  • two-person installation crew: approx. €42 net per hour, minimum 4 hours per visit,
  • travel: approx. €1 net per km, counted both ways from Wieluń,
  • installation at night or outside hall opening hours: approx. €65 net per hour.

Example: a show about 900 km away, with build-up and breakdown of 6 hours each. Travel to the build-up and back is 1,800 km × €1 = approx. €1,800, and the same again for breakdown. Labour: 12 × €42 = approx. €504. For distant multi-day shows it is often cheaper for the crew to stay over than to make two trips, or to use a partner installation team in that country; we settle this at the quote stage.

Where you can save most often

A few things we tell clients planning their first stand:

  1. Buy for several events, not one. A display wall or SEG frames last for years. At later shows you only pay for new graphics, e.g. from approx. €190 for a 300 × 230 cm wall instead of €400.
  2. Do not overdo the text. A large, legible graphic with one slogan works better than a wall of text, and then you do not have to change it every year because your offer has changed.
  3. Light selectively. One LED frame with the logo draws the eye as well as three and costs a third as much.
  4. Order with time to spare. Express is possible, at a surcharge. The standard 3 or so working days plus shipping fit comfortably into the plan if you start 3–4 weeks ahead; details in the trade show preparation checklist.

Other questions we often get

Doesn't the organiser provide walls?

Often yes: the package may include a shell scheme with white walls and a fascia with your company name. Then well-chosen graphics are enough: stickers, roll-ups, a fabric frame hung on the wall. Before ordering anything, check the show rules for what is included and what may be fixed to the walls.

How much does an exhibition counter with a logo cost?

A folding promotional counter with a front graphic costs from approx. €210 net. A new graphic for it alone, e.g. after a logo change, is from approx. €60 net.

Can I hire a stand instead of buying?

We mostly produce and sell systems together with graphics, so they serve you at later shows; ask about other options at the quote stage. For a one-off event we usually advise a simpler kit, such as a banner wall or roll-ups, which cost little more than hire.

How long does it take to prepare an SEG frame build?

It depends on the size and number of elements. Simple portable kits take about 3 working days; larger builds with many modules and furniture we plan over up to 14 days. We always schedule around the show date.

Do you work on trade shows abroad?

Yes. We ship kits abroad by courier or with our own vans, and for builds we can send an installation crew: we work in Poland and across Europe, and also with partner teams in the EU. Travel is charged the same way, per kilometre.
