What agency and printer work costs – how the price is made up

What the price of signage consists of

The client usually sees one figure. Inside it there are several layers, and each can be larger or smaller depending on the job.

  • Design – the designer's work: from a simple banner to a campaign with many adaptations.
  • File preparation – technical checks and corrections, logo vectorising, preparing cut paths.
  • Material and print – priced per m² in large format, per run in small format.
  • Processing and finishing – eyeleting, pole pockets, laminate, routing, laser cutting, acrylic bending, LED assembly.
  • Logistics – packing, shipping, and for chains, kitting per site.
  • Installation – crew time, travel, possibly a lift.
  • Timing – express and night work cost more.
  • Coordination – if you order through an agency, its fee is added.

That is why two quotes for 'the same sign' can differ widely. Often one includes the survey, technical design and installation, while the other covers only the item collected from the workshop.

Two examples – how it adds up

A fence banner with design, collected. 510 g coated banner, 4 × 1 m, i.e. 4 m² in the 1–4 m² band at approx. €13: approx. €52 net. Trimming, hems and eyelets every 50 cm are included. Add a simple banner design at approx. €43. Total approx. €95 net. If five of the same banner were needed, the area moves into a higher band and the rate per m² falls; more in how much a banner costs.

A light box over the entrance, installed 50 km from our base. A single-sided 300 × 60 cm light box, i.e. 1.8 m² × approx. €320 = approx. €576 net. Installation: minimum 4 hours × approx. €42 = approx. €168. Travel: 100 km (there and back) × approx. €1 = approx. €100. Total approx. €845 net, excluding a lift and the electrical connection if the client's electrician does it. How advertising and marketing agencies bill

Agency rates vary enormously – they depend on team size, experience, city and scope. Rather than figures, it is worth knowing the billing models, because they decide what you pay for.

  • Retainer – a fixed monthly sum for a defined scope of work or pool of hours. Typical of marketing agencies and ongoing social media management.
  • Project fee – one sum for a specific deliverable: a logo, a campaign, a catalogue.
  • Hourly rate – work charged by actual time, often for amendments and jobs that are hard to predict.
  • Media commission – a percentage of the budget spent on placing ads.
  • Production margin – the agency orders print or products from a manufacturer and adds a mark-up for coordination and responsibility.
  • Performance-based fee – part of the payment depends on results, e.g. the number of enquiries; found mainly in online marketing.

Each model is fair, as long as it is clear. Ask for a quote in which the agency's work and third-party costs are shown separately.

How not to overpay – practical tips

  1. Give the deadline straight away. Express costs on average approx. 40% more, and it can often be avoided if the date is known at the start.
  2. Order one design plus adaptations. A master design plus adaptations for a roller banner, flyer and banner (approx. €13 each) works out cheaper than separate designs for every item.
  3. Combine jobs. The rate per m² falls with total area, and one crew visit for several jobs costs less than three separate ones.
  4. Prepare files and content. Every round of changes beyond the package means extra studio hours.
  5. Do not skimp on finishing. A banner without reinforcement on a windy fence, or cheaper vinyl on a vehicle, usually costs more when it has to be replaced.
  6. Compare whole quotes, not rates per m². Check whether installation, travel, design and transport are included.

Do you charge for a quote?

We prepare an initial quote from a description, dimensions and photos – for products priced per m² that is usually a matter of one message. Work that needs a site visit or studio time is charged separately: an on-site survey (approx. €85 net, refunded when you order production), an installation mock-up or a technical design.

Prices are net – what will the gross price be?

VAT is added to net prices at the rate applicable to the service or goods – in Poland usually 23% for advertising materials. For business customers in other EU countries with a valid VAT number, cross-border invoicing often works differently (e.g. under the reverse charge); we confirm the VAT treatment in the quote.

Why does a small sticker cost as much as a big one?

Because very small formats carry a minimum print and finishing value: file preparation, machine set-up and finishing cost the same regardless of area. Our minimum order value is approx. €24 net.

Does the printer charge for checking the file?

Not with us – technical checking and correction of the file is included in every order. Only design changes, adaptations to other formats and logo vectorising are charged.

What does installation in another city or country cost?

We charge crew time (approx. €42 net per crew-hour, minimum 4 hours per visit) and travel at approx. €1 net per km both ways from Wieluń. If you have several locations, describe them in one enquiry – that makes it easier to plan the route and the installation schedule.
