This list is for indoor events – a hotel ballroom, a conference centre, an auditorium. For open-air events we have a separate guide outdoor event signage, because different materials matter there (wind, rain, fixing to barriers).

Stage and stage backdrop

Every delegate and every photo sees the stage backdrop, so this is no place to skimp on size. The most common mistake: a backdrop too small for the projection screen. The logo gets lost, and photos show the hotel's curtains.

  • Printed fabric – does not reflect stage lights, which makes a big difference in photos and on a live stream. UV-printed textile banner costs approx. €13–22 net/m², stretch fabric on a frame approx. €14–24 net/m².
  • PVC banner – cheaper, but shiny under spotlights. For a stage backdrop we recommend a matt version or fabric.
  • Fabric walls joined into a wide backdrop – convenient when the same stage is going to several events.

Before ordering, ask the hotel for the stage dimensions, room height and where things may be hung. We design the graphic so that the logo and slogan sit above the speakers' heads, not behind the lectern.

Photo and interview wall

A wall with the organiser's and sponsors' logos (a sponsor or press wall) usually stands in the foyer or at the entrance to the hall. Guests are photographed and interviews recorded in front of it.

  • Straight banner wall 240 × 230 cm from approx. €210 net, 300 × 230 cm from approx. €240 net – the cheapest option.
  • Fabric pop-up wall 300 × 230 cm from approx. €400 net, curved from approx. €440 net – no glare, looks better in flash photos.

A chequerboard pattern is used on the wall: logos repeated in staggered rows, so that every frame – from a face close-up to a full-length shot – shows at least one logo. Details in our guide sponsor backdrop for interviews, and the choice of structure on the fabric and media backdrop walls page.

Registration: counter, badges, lanyards

The registration queue is the first impression of the event. A well-prepared area:

  1. Counter with graphic – a folding promotional counter from approx. €210 net, with a replaceable graphic for future events.
  2. Personalised badges – first name, surname, company, sometimes a colour by delegate type (guest, speaker, organiser, press). 100 pieces 90 × 50 mm, printed both sides, cost approx. €60 net. Sort them alphabetically, and supply the list at the latest a few days before the event.
  3. Printed lanyards – you can also order them through our designer at printstrap.com.
  4. Roller banner with the event plan or agenda by the counter.

Choosing badges and lanyards is covered in our guide event name badges and lanyards.

Room and direction signage, and delegate materials

In a large hotel or congress centre, guests get lost between rooms. A few simple items are enough:

  • directional boards in foamed PVC on easels or stands (3 mm PVC with print approx. €21–33 net/m²),
  • room names and the day's programme at each door – A3 or A2 posters (10 A2 posters approx. €28 net),
  • roller banners at the entrance and in the foyer – from approx. €55 net for 85 × 200 cm.

For delegates: conference folders (100 pcs A4 approx. €135 net), notepads, programmes, bags. Sponsors will find a printed promotional tablecloth useful for a foyer table – dye-sublimated fabric approx. €15–25 net/m² plus hemming approx. €3.30 net per linear metre.

Ordering schedule and night-before installation

A plan counted back from the event date:

  • 4 weeks before – list of materials, room dimensions from the hotel, sponsor logos as vectors.
  • 3 weeks before – designs and approvals. Collecting logos from sponsors takes longest – start with that.
  • 2 weeks before – print files. Standard production is about 3 working days, larger sets up to about 14 days.
  • a few days before – the delegate list for the badges.
  • the night or evening before – installing the stage and walls while the room is free. Installation outside standard hours is charged from approx. €65 net per hour.

If something comes up at the last minute, we print express in 24 hours. But it is best to give the event date straight away – we can often make it without an express surcharge. We work with organisers across Poland and Europe – see our page for event organisers.

Questions and answers

Other questions we often get

Banner wall or fabric wall for a conference?

A banner wall is cheaper and enough for one event. A fabric wall does not reflect lights and flash, looks better in photos and on streams, and folded up fits in a bag. With several events a year a fabric wall with a replaceable graphic usually works out better.

Can you deliver and install the materials at the hotel?

Yes, we deliver with our own transport and install on site, including the night before the event. Smaller sets, e.g. roller banners and badges, we send by courier to the hotel address.

What files are needed for a sponsor wall?

Logos as vectors (PDF, AI, EPS or SVG) and information on whether any sponsor should have a larger logo. Our studio will lay out the chequerboard pattern and prepare the file at the right scale.

What should we do with the materials after the gala?

The wall, counter and roller banner structures can be reused – at the next event only the graphic is replaced. Out-of-date materials with the date on them are best collected straight after the event, before the hotel staff clear them.

How far ahead should materials for a gala be ordered?

Safest is 3–4 weeks before the event, because collecting logos and approvals takes most time. Production itself usually takes about 3 working days, and if needed we print express in 24 hours. The earlier you give us the date, the easier it is to fit into standard turnaround and price.
